Terms of Service

1. Agreement to terms

By accessing and using EmailConnect.eu ("the Service"), you accept and agree to be bound by the terms and provision of this agreement. If you do not agree to abide by the above, please do not use this service.

2. Service description

EmailConnect.eu provides email-to-webhook forwarding services, allowing you to receive emails sent to your custom domains and forward them to your applications via HTTP webhooks. The Service includes:

  • Domain verification and email routing setup
  • Email alias management
  • Webhook configuration and delivery
  • Email processing logs and analytics
  • API access for programmatic integration

3. Account registration

To use the Service, you must create an account by providing accurate and complete information. You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activities that occur under your account
  • Notifying us immediately of any unauthorized use
  • Ensuring your contact information remains current

4. Acceptable use

You agree not to use the Service to:

  • Send, receive, or facilitate phishing, spam, or unsolicited bulk email
  • Distribute malware, viruses, or other harmful content
  • Impersonate any person or entity, or misrepresent your affiliation
  • Violate any applicable laws or regulations
  • Infringe on intellectual property rights
  • Engage in fraudulent or deceptive practices
  • Attempt to gain unauthorized access to our systems or other users' accounts
  • Interfere with or disrupt the Service or its infrastructure

EmailConnect reserves the right to investigate suspected violations of this Acceptable Use Policy and to take appropriate action, including suspension or termination of your account.

5. Compliance reviews

To protect the integrity of our platform and all its users, we may conduct limited compliance reviews when we have reasonable grounds to suspect a violation of our Acceptable Use Policy.

5.1 Scope

Compliance reviews are limited to email metadata only: subject lines, sender and recipient addresses, URLs, and attachment filenames. We do not review email body content. Reviews are time-limited (maximum 48 hours), capped in scope to the specific account and timeframe under investigation, and fully audited.

5.2 Legal basis

Compliance reviews are conducted in accordance with GDPR Article 6(1)(f) (legitimate interest in preventing platform abuse). We apply the principle of data minimization (Article 5(1)(c)) by limiting reviews to metadata, and storage limitation (Article 5(1)(e)) by auto-deleting review captures 7 days after the review concludes.

5.3 Notification

You will be notified after any compliance review concerning your account has concluded, in accordance with GDPR Article 14. Notification may be delayed during the review period to preserve the integrity of the investigation, as permitted under Article 14(5)(b).

6. Service plans and billing

6.1 Free Plan

Our Free plan includes core email forwarding with usage limits. Free accounts may be subject to additional restrictions and are provided on a best-effort basis.

6.2 Paid Plans

Maker, Business, and Platform plans include enhanced features, higher limits, and priority support. Billing is processed monthly or annually as selected during subscription.

6.3 Payment Terms

  • All fees are charged in advance and are non-refundable
  • Prices may change with 30 days notice
  • Failed payments may result in service suspension
  • EU VAT applies where required

7. Service availability

We strive to maintain high availability but do not guarantee uninterrupted service. We may perform maintenance, updates, or experience outages that temporarily affect service availability.

8. Data and privacy

Your use of the Service is also governed by our Privacy Policy. We process email metadata but do not store email content beyond what is necessary for delivery. All data processing complies with GDPR requirements.

8.1 Data Residency Mode

Platform plan users may opt into Data Residency Mode. When enabled, email content (body, attachments, headers) is delivered to your webhook endpoint and, if configured, stored in your own S3-compatible storage, but is not persisted in EmailConnect's central database. Only routing metadata is retained (message ID, recipient address, subject line, timestamps, delivery status, and attachment summary). Sender addresses are not stored.

Data Residency Mode requires an active custom S3 storage connection. Enabling this mode means:

  • Manual retry, replay, and payload preview are unavailable in the dashboard (the content is not stored)
  • You assume responsibility for storing, retaining, and managing the email content delivered to your endpoints

9. Intellectual property

The Service and its original content, features, and functionality are owned by XADI and are protected by international copyright, trademark, and other intellectual property laws.

10. User content

You retain ownership of any content you submit through the Service. By using the Service, you grant us a limited license to process and forward your emails as necessary to provide the Service.

11. Termination

11.1 By you

You may terminate your account at any time through your account settings. Your subscription remains active until the end of the current billing period. Unused email credits remain valid according to their standard 12-month expiry from the date of purchase. Upon expiry of the billing period, your data will be deleted according to our data retention policy.

11.2 By us for cause

We may suspend or terminate your account immediately if you violate these terms or our Acceptable Use Policy, engage in prohibited activities, or if required by law. In such cases:

  • Prepaid subscription fees for the remainder of the billing period are not refunded
  • Unused email credits are forfeited upon termination
  • Account data will be deleted according to our data retention policy

11.3 By us for other reasons

If we terminate or discontinue your account for reasons other than a violation of these terms (for example, discontinuation of the Service), we will provide reasonable notice and:

  • Issue a pro-rata refund of any prepaid subscription fees for the unused portion of the billing period
  • Unused email credits remain valid for their standard 12-month expiry from the date of purchase
  • You will have a reasonable period to export your data before deletion

12. Disclaimers

The Service is provided "as is" without warranties of any kind. We disclaim all warranties, express or implied, including but not limited to merchantability, fitness for a particular purpose, and non-infringement.

13. Limitation of liability

To the maximum extent permitted by law, XADI shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business interruption.

14. Indemnification

You agree to indemnify and hold harmless XADI from any claims, damages, or expenses arising from your use of the Service or violation of these terms.

15. Governing law

These terms are governed by the laws of the Netherlands. Any disputes will be resolved in the competent courts of the Netherlands.

16. Changes to terms

We may modify these terms at any time. We will notify users of significant changes via email or service notifications. Continued use of the Service constitutes acceptance of modified terms.

18. Severability

If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
